Premium cigars are highly sensitive commodities that demand strict climate controlled preservation, specialized structural packaging, and precise transit conditions.
To maintain product integrity and guarantee transactional security for our patrons, Rain City Cigar reviews and executes all return, exchange, or refund applications in strict accordance with order milestone achievements, actual product preservation status, and verification of specified claims.
Order Cancellation
Should you wish to cancel an order, please contact customer support immediately. Requests can only be processed if the order has not yet entered our fulfillment or pre-dispatch sequence. Once an order progresses to processing, secure bundling, courier hand-off, or logistical dispatch, cancellation is no longer possible. All final determinations remain subject to customer service verification.
Out-of-Stock Resolutions
In the rare instance where an ordered item becomes temporarily unavailable due to sudden inventory depletion, Rain City Cigar will immediately reach out to you. Patrons may opt for alternative product substitutions, choose to wait for restock fulfillment, authorize a partial shipment of available lines, or receive a prompt refund for the missing line item.
Damaged or Anomalous Merchandise
If you discover severe physical damage, conspicuous product anomalies, or suspected quality defects upon receipt, you must contact our customer service team immediately. To expedite validation, please provide the following evidence:
- Your unique Order Identification Number.
- Clear, high-resolution photographs of the affected merchandise.
- Photographs detailing the condition of the external transit packaging.
- A comprehensive written description of the discrepancy.
- A photograph of the carrier’s shipping label affixed to the box (if available).
Rain City Cigar will swiftly investigate and provide remedial assistance based on digital evidence, packing history, and factual conditions.
Untraceable Tracking or Logistical Delays
If a newly received tracking number fails to render immediate data, it is typically because the carrier's sorting depot has not yet completed its initial database upload. We recommend allowing a reasonable synchronization window before checking the carrier's portal again.
If a tracking number remains unverified for an extended period, or if the carrier's portal displays an alarming operational status, please contact us. Rain City Cigar will gladly audit our dispatch manifests to assist you. However, please remember that the actual physical transit, border customs processing, intermediate routing, and final delivery updates remain subject entirely to the official system records of the carrier or relevant administrative bodies.
Non-Returnable Scenarios & Exclusions
Returns, exchanges, or refund allocations cannot be approved under the following conditions:
- Merchandise that has been unsealed, sampled, handled, or suffers customer-inflicted damage.
- Altered product condition resulting from inadequate localized preservation or climate control.
- Delivery failure arising from customer errors in shipping credentials or inability to contact the recipient.
- Explicit refusal by the recipient to accept or sign for the incoming parcel.
- Delays, return-to-sender mandates, or official seizures triggered by destination laws, customs protocols, unpaid tariffs, or regional compliance limits.
- Carrier tracking synchronization lag where the package is demonstrably moving through standard routing sequences.
- Discrepancy claims submitted outside a reasonable, standard feedback window following delivery.
Returned Parcels & Financial Deductions
If a parcel is forcibly returned to our facility due to inaccurate address data, failure to claim, recipient refusal, customs clearance failure, unresolved tax obligations, unreachable contact details, or localized destination import bans, Rain City Cigar will process the return based on actual conditions. Crucially, all associated outward/inward shipping fees, administrative tariffs, processing overheads, and the non-refundable $9.00 USD full-box reinforcement and handling fees will be entirely deducted from any eligible residual refund balance.
Refund Processing Methods
Approved refunds are universally credited back to the original method of payment. The actual posting date to your account depends exclusively on the operational processing cycles of your financial institution, banking network, or card issuer.
Where an order utilized unique promotional vouchers, stacked discounts, shipping subsidies, or event-specific tier pricing, the final net refund amount will be mathematically audited based on actual net funds captured, remaining order milestones, and the overarching campaign rules.
